n8n, Make, Zapier or custom development: what to choose for automation
Zapier and Make are the quickest to start with for simple tasks; n8n offers more control, advanced logic and the option to host it on your own server; custom development pays off for critical, high-volume processes or those that are part of your product. They can be combined: the usual path is to move from one to the next as complexity grows.
Quick summary
Zapier
The simplest, with the most ready-made integrations. Ideal for simple tasks. Its cost grows with the number of operations.
Make
More flexible for visual flows with branches and complex data. A good balance of ease and power, also in the provider's cloud.
n8n
Visual, with code when needed; it can be self-hosted to control the data. A very good base for AI flows.
n8n service →Custom development
Maximum flexibility, performance and control. It needs more upfront investment and is the option when the automation is part of the product.
Custom automation →Comparison by criteria
| Criterion | Zapier | Make | n8n | Custom |
|---|---|---|---|---|
| Time to launch | Very fast | Fast | Fast | Slower |
| Complex logic | Limited | Good | Very good (with code) | Full |
| Data control | Provider's cloud | Provider's cloud | Self-hostable | Full |
| Cost at high volume | Grows with every operation | Grows with operations | Stable (infrastructure) | Stable, with upfront investment |
| Ready-made integrations | A great many | Many | Many + own API | The ones you build |
| AI and agents | Basic integrations | Integrations | AI and agent nodes | Free |
| Who maintains it | Your team | Your team | Your team or a third party | A technical team |

When to choose each one
- Zapier or Make if you need a couple of simple automations now, with low volume and no sensitive data.
- n8n if you have several flows, logic with conditions, data you do not want to take out of your infrastructure or you are going to add AI. It is the middle ground we recommend most.
- Custom development if the process is critical to the business, has high volume, strict performance or security requirements, or is part of the product you sell.
And when AI comes in
All of them can call language models. The difference lies in how it is controlled and evaluated: with n8n or your own code you can validate the output, log every decision and switch model; with more closed tools you depend on what they expose. For processes that reason and chain tools (read an email, query the ERP, decide), the next step is AI agents.
Frequent mistakes
- Building dozens of loose automations without documentation or an owner.
- Putting critical business logic in a tool designed for simple tasks.
- Ignoring the cost per operation until volume spikes.
- Not planning for failures: without retries, alerts and logging you do not know what was lost.
- Sending personal data to services without a data processing agreement.

Frequently asked questions
Which is better, n8n or Zapier?
Zapier is quicker to start with for simple tasks; n8n allows more complex logic, self-hosting and a steadier cost at high volume, in exchange for a bit more technical knowledge.
Is n8n free?
It can be self-hosted under a licence with specific terms of use and there is a paid cloud version. The licence must be checked for business use.
When is custom development better than a no-code tool?
When the process is critical, high-volume, has strict performance or security requirements, or is part of your product.
Can these tools be combined?
Yes. It is common to use quick tools to prototype, n8n for flows with control and custom development for the critical processes.
What is the best option for AI automations?
n8n or your own code, because they let you validate the model output, log decisions and switch AI provider easily.
